Personal Information Protection Policy

SAXA, Inc. (hereafter "the Company"), endeavors to contribute to the development of a better society by providing solutions which customers can be satisfied with, through the development, production, sales, maintenance and services centered on the network solutions business and security solutions business.
We recognize protecting the information which could identify a living individual (hereafter "personal information"), especially customers private information properly, are important social responsibility for executing our business.
The Company will pay close attention and expend utmost effort on protection and managing personal information as follows.

  1. 1The Company observes the stipulations of the Personal Information Protection Law and relevant guidelines, and also addresses educational activities to stimulate all the officers and employees (including part-time workers and temporary dispatched workers) to understand the importance and master the proper handling of such personal information.
  2. 2The Company develops a personal information protection management system and establishes a dedicated management structure. At the same time, the Company places persons responsible for handling customers' personal information in each relevant department and strives to ensure the appropriate handling of personal information.
  3. 3The Company uses personal information only to achieve the purposes that will be detailed for each customer when such personal information is collected. When personal information is entrusted by any other entities such as another company, the Company will properly handle the personal information within the scope of an agreement in accordance with the contractual provisions concluded with said entrusting entities.
  4. 4If the Company requests that customers supply personal information, it informs them of the purpose for the use of such information, the scope of third parties to whom the Company intends to supply such information and the consultation desk of the Company in charge of the subject, in principle.
  5. 5To ensure the correctness and safety of personal information, the Company strives to prevent any problems related to personal information, such as incorrect access to its Website and the loss, destruction, falsification or leakage of information by implementing effective technical measures. Safety measures are also revised periodically, and corrective actions taken when required.
  6. 6The Company will never provide customer personal information to a third party without first obtaining consent from the customer, except when required by law with a reasonable cause.
  7. 7In case of the supply or entrusting of customer information to a third party, except under special circumstances, the Company strives to prevent leakage or redistribution from such third party by entering into a stringent, compulsory agreement with said third party.
  8. 8When a customer makes a request to refer to, correct or delete his or her own personal information, or seeks to prevent the use or provision of such information, the Company responds to such requests within a reasonable period of time. In such a case, please consult with the staff in charge of the Personal Information Protection Consultation Desk or a Company salesperson near you.
  9. 9The Company endeavors to continuously review, evaluate and improve its entire compliance program including the Personal Information Protection Policy.

Publication under the "Act on the Protection of Personal Information"

The Company "publishes" the following guidelines in compliance with the "Act on the Protection of Personal Information" (hereafter "the Personal Information Protection Law").

Publication of the Purpose for Use about Personal Information

The Company at each use shall clarify the purpose for use of the collected personal information when using said information to achieve the following objectives.

  1. 1To send materials to persons who have requested documents, etc., on products and services of the Company
  2. 2To send products to customers who have implemented the Company's products

Procedures for Handling a "Request for Disclosure, etc."

If an individual or his/her proxy wishes to refer to the personal information in our possession or to correct or delete such information, the Company handles such requests through the procedures described below.

For a request for disclosure, etc., please send the prescribed application to the address below, together with the necessary documents.

Please download the "Personal Information Inquiry Sheet." Enter all the necessary columns and mail together with the documents for identifying the individual.

Materials to verify the identity of individuals
In cases of personal information related to workplaces, such as employer contact information on "Request for Disclosure, etc."
Materials to verify the identity of an individual who belongs to said company or other organization (certificate of employment, etc.)
In cases of personal information related to private individuals, such as home contact information relevant to "Request for Disclosure, etc."

One copy of any of the following:

3."Request for Disclosure, etc." through a proxy

A "Request for Disclosure, etc." by guardians of a minor or adult ward, or a proxy appointed by the individual to request disclosure needs to provide the following materials in addition to the materials in the previous items by mail or by visiting the SAXA office.

In cases of a guardian:

4.Fees and payment methods of "Request for Disclosure, etc."

In cases of requests for disclosure of personal information

¥540 per request
Please include ¥540 in postage with the application when sending a request for disclosure by mail.

  • *SAXA will contact you about any insufficient payment or missing fees sent with an application.
  • *Please be aware SAXA will not respond to requests for disclosure if payment is not provided within the designated period.
In cases of requests for revisions, additions, deletions or usage stoppage of personal information for disclosure or requests to stop sharing of personal information with third-parties
No fees apply.

5.Procedure to respond to "Request for Disclosure, etc."

SAXA will respond in writing to the address included on the request for disclosure application.

6."Usage purposes" of personal information collected for requests of disclosure

Personal information collected for processing requests for disclosure are only used within a scope necessary to handle the request for disclosure. The materials that are submitted are stored for the same period as the personal information relevant to the disclosure and five years thereafter (five years from responding to the request for disclosure if there is no personal information relevant to the disclosure). The materials that are submitted are destroyed thereafter.

7.Reasons for not disclosing "Personal Information Possessed by the Company"

SAXA cannot disclose personal information in the cases outlined below. We will notify you with the reason if the request for disclosure is denied.
Moreover, the designated fees must be paid even if the request for disclosure is denied.

  1. 1The identity of the individual cannot be verified, such as when the address included on the application, the address included on the materials to verify the identity of the individual, and the address registered with SAXA Holdings, Inc. do not match.
  2. 2The proxy rights cannot be verified when an application is made through a proxy
  3. 3Discrepancies are found between the designated application materials
  4. 4Disclosure has a potential to harm the life, safety, assets or other rights and gains of the individual or a third party
  5. 5Disclosure places a significant or potentially significant burden on the proper execution of SAXA operations
  6. 6Disclosure violates other laws or regulations
